Overview

Post-Production Captioning or transcription services convert speech and audio information of multimedia content into a textual equivalent.  Captions are time-synced and integrated into multimedia content, while transcriptions provide the text in full separately from the multimedia content.

Students Requesting Captioning of Media

Procedure

CSD will make every attempt to provide captioned materials as promptly as possible. However, late requests for the captioning of media may delay its delivery. Procedure
  1. Determine which classes you will need captioned media. Students are encouraged to contact their faculty members directly regarding required media (videos, podcasts, etc.).
  2. Students approved for this accommodation will receive access to the Captioned Media Request form as well as an e-mail from the CSD Tech Team with instructions on how to submit a request for captioned media.
  3. Go to the Student Captioned Media Request form on the CSD website to complete an online request form. Students may meet with a CSD Tech Team member for assistance completing this form. The CSD Tech Team can be reached at csdcaptioning@uconn.edu or in person at the CSD, Wilbur Cross, Room 204.
  4. CSD will work with your faculty to obtain and caption the media. Your faculty will provide access to the captioned media for you either in class, HuskyCT or other instructional method.

Post-Production Captioning

Procedure

If you have a student enrolled in your course who is approved for post-production captioned media, the Center for Students with Disabilities (CSD) will collaborate with you to coordinate post-production captioning and transcription services for all media used in your course. Post-production captioning refers to any media with an audio component, most likely videos or podcasts, that will require captioning or transcripts.

Please follow the CSD’s post-production captioning process below. The process should begin immediately after receiving notification from the CSD and UConn Interpreting Services (UCIS).  The turn-around time for post-production captioning requests may vary depending on the complexity of the subject matter, quality of the audio, and the type of media used.  All post-production captioning requests must be submitted to the CSD at least 7 days in advance of its use in the course through Kaltura.

You have the option to caption media yourself. Media must be captioned in a manner that is at least 99% accurate, synchronized, clear, and readable. Mechanically generated post-production captions must be manually edited for accuracy before distribution. If you would like to caption your own media, please visit DIY Captioning hosted on the ITS Accessibility website or contact the ITS Accessibility Coordinator, Kathryn Weber-Hottleman at ITAccessibility@uconn.edu or CETL – Educational Technologies at edtech@uconn.edu or call 860-486-5052.

CSD Post-Production Captioning Process

As soon as you receive notification of a student in your class is approved for communication access, please begin the post-production captioning process. You must submit your captioning request at least 7 days in advance of their use in your class through the Kaltura platform. Although Kaltura allows for a 48-hour turnaround time, the complexity of the subject matter, quality of the audio, and the type of media will affect the delivery of captioned media.

*If the media you are using is already hosted on Kaltura, please skip to Step 3.

  1. Create a Kaltura Account
    All captioned media will be distributed through Kaltura (UConn supported system for hosting multi-media) so you will need to create a Kaltura account. For assistance, please visit Create a Kaltura Accountor contact CETL – Educational Technologies at edtech@uconn.edu or call 860-486-5052.
  2. Prepare Media
    In order for CSD to process post-production captioning requests; all media must be in Kaltura. If media is stored outside of Kaltura, please upload it to Kaltura and then proceed to Step 3.   3. Request Post-production captioning through Kaltura

IMPORTANT: Once you have followed the post-production captioning directions and requested captioning for a 48 hour or longer turnaround, CSD and UCIS will approve your request. If you request materials to be completed sooner than 48 hours, your request will be denied. If you need a turn-around time quicker than 48 hours, please contact Erin Reyes at csdcaptioning@uconn.edu.

  1. Distribute Media
    Your post-production captioning request should process within 7 days of submission depending on the subject matter. You will receive a notification via email when your media is captioned. Your captioned media will be available in your Kaltura account under My Media. Once your captioned media is available, review the captions and notify us of any errors. If your HuskyCT course(s) are set up for students to access videos in your Kaltura account, the captioned media will replace the old, uncaptioned video and will automatically be accessible in HuskyCT. DIY Captioning

Create a Kaltura Account

Kaltura is the only centrally-supported media platform at UConn and is available free for all students, faculty, and staff.  It is fully integrated with HuskyCT and UConn’s Single Sign-On system.  To generate your account, simply log in for the first time by following these simple steps:

  1. Visit https://kaltura.uconn.edu/ 
  2. Log in with your UConn NetID
  3. Your account is set up

The landing page for your Kaltura account may look blank.  Click on the profile icon to select your media, upload new media, and browse related content. For more information about using Kaltura, see Upload Media to Kaltura.

Upload Media to Kaltura

Log in to Kaltura and follow the steps below. If you don't already have a Kaltura account, please follow the steps on the Create a Kaltura Account page before proceeding below.
